1. Who we are

Veterans Compass is an independent Australian platform operated by Veterans Compass, ABN 15 908 938 833. We are not affiliated with the Department of Veterans' Affairs or the Australian Defence Force. Contact: privacy@veteranscompass.com.au

2. What information we collect

We collect: your email address and name when you register; claim information you enter including service history and condition details; documents you upload including medical records, specialist reports, and service documents. Medical records and health information are classified as sensitive information under the Privacy Act 1988 and are handled with the highest level of protection accordingly. We collect this information only when you provide it to us.

3. Why we collect it

We collect your information solely to provide the Veterans Compass claim preparation service. We do not use your information for marketing, profiling, or any purpose other than operating the service you have signed up for.

4. How we store it

Your data is stored in a Supabase database hosted in Sydney, Australia (ap-southeast-2 region). Documents are stored in a private encrypted storage bucket. Row-level security policies ensure only your account can access your records. We implement reasonable technical and organisational measures to protect your information under Australian Privacy Principle 11.

5. AI Processing and Third-Party Data Transmission

Veterans Compass uses Anthropic's Claude AI API to extract relevant information from documents you upload — including medical records, service documents and specialist reports.

When you upload a document, its contents are transmitted securely to Anthropic's API servers for processing. Anthropic returns the extracted information to Veterans Compass and does not store, retain, or train on your document content beyond completing the processing request.

Anthropic is bound by their own privacy policy, available at anthropic.com/privacy. By uploading documents to Veterans Compass you acknowledge and consent to this processing. You will be asked to provide explicit consent before your first document upload.

This transmission constitutes a disclosure of personal information to an overseas recipient under the Privacy Act 1988 (Cth). Anthropic operates servers in the United States. Veterans Compass has taken reasonable steps to ensure Anthropic protects your information in a manner consistent with the Australian Privacy Principles. However, once your information is transmitted to Anthropic for processing, Australian Privacy Principles may not apply to Anthropic's handling of that information.

All other data — your documents, claim information and personal details — is stored exclusively on Supabase infrastructure located in Sydney, Australia (ap-southeast-2 region).

6. Sharing your information

We do not sell, rent, or share your personal information with third parties except: Anthropic (for AI document processing, as described above); where required by Australian law; where you explicitly request us to (for example, exporting a summary to share with your advocate).

7. Your rights under the Privacy Act 1988

You have the right to access the personal information we hold about you, request correction of inaccurate information, and request deletion of your account and associated data. To exercise these rights contact privacy@veteranscompass.com.au. We will respond within 30 days.

8. Notifiable Data Breaches

Veterans Compass complies with the Notifiable Data Breaches scheme under the Privacy Act 1988. If a data breach occurs that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required by law.

9. Retention

We retain your data for as long as your account is active. If you delete your account, your personal data and documents will be permanently deleted within 30 days. Anonymised, non-identifiable usage data may be retained for product improvement.

10. Your Rights

You have the right to:

  • Access the personal information Veterans Compass holds about you
  • Request correction of inaccurate information
  • Request deletion of your account and all associated data
  • Withdraw consent for AI processing — noting this will prevent document extraction from functioning
  • Lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au if you believe we have breached the Australian Privacy Principles
